OK: I finally got completely caught up with the blog, the emails, and the Google Doc. spreadsheet. Here's my basic understanding of the food organization so far:
Friday evening: Pre-made pot-luck fare and grilled items. Food contributions are filling in nicely (two proteins already, a couple salads). Set-up time/volunteers uncertain. Clean-up volunteers are on board. Since we always arrive on the early side, it would be easy enough to begin the set-up on the big kitchen table: paper plates, napkins, cutlery, condiments. Perhaps Mark can commit to that. No captains, but that seems OK with the potluck format and spreadsheet to keep track of what people are planning to bring. JJJ, I will bring my Korean Tacos for this meal--also consumable as a delicious salad. I advocate for skipping the grill component for this meal, although I don't want to deprive Mim of her chicken grilling glory.
Sat. breakfast: Cereal, breads, fruit, juice; set-up accommodated in spread sheet.
Sat. lunch: Fend for ourselves, and we need to add cold cuts and sandwich breads to the common list of items. I can do that--just thought of it. Some Jeff & Lori items (pesto, moz.) are being covered by JJJ. I'll bring good coffee. Need to put paper plates and napkins on the common list of items.
Sat. BBQ/Picnic/Later night adult snacks: Captains: Mim & Chris (or is he just a willing participant/grill man/cocktail concoctor?). This one still feels a little chaotic to me, although the food contribution list on the spread sheet is looking GOOD. I recommend starting this at 3 PM, and dining on blankets outdoors. Grilled burgers and dogs & other sundry items. The post kid bedtime adult snacks are not yet defined. I could skip that. We will have PLENTY of snacks. My own favorites (olives, bread, cheese, crackers) should be on hand. But we could create a "snack fetcher" job for that night? A couple people could tote up some snacks to Brazil Hill?
Sunday Brunch: Captains: JJJ and Anna. This is in hand (see spread sheet)
Sunday Dinner: Captains: Paloma and Ea: This is also well in hand. It is, after all, BURRITO NIGHT.
Monday Breakfast: Cereal, breads, fruit, juice; set-up accommodated in spread sheet.
Monday Lunch: Fend for ourselves
Monday Dinner: Captains: Anna and Paloma: Pizza and Salad using leftovers.
Tuesday: Undefined--but I think that's fine (we can assess on Monday). One big chore to handle will be leftover food processing, throwing away, preparing for our Weds. departure. With more people staying on, the hope is that this process will be less stressful.
I am right that Weds. is the day we leave, right?!
OK--that's my understanding. I think Saturday picnic is the place where we could use some fine tuning. I really am grateful for all the thinking and communicating that's been going on.
Love,
Hayley

try this
Hayley- thanks for summarizing things so far- that is really helpful!
I agree w/ JJJ about no slip n slide.
I agree to no need for grill Friday- let’s keep that for Saturday.
Can we set a deadline that the “self-serve” chore list is open and at that point and someone can fill in the rest and assign the slots that aren’t filled? Also, once that is done I would be happy to print out copies for everyone’s door with chore assignments and kitchen times, etc.
Anna- I’ve been to 2 stores and not able to find nutty buddies- just the cheaper little Debbie version- don’t know how attached to brand you are- if so, can you procure those?
The junk food Goddess is shining us- I was at Market Basket today and they were giving away coupons for FREE packs of Chips O’hoy’s!! Oh my.
I got a Panini grill for x-mas which I still haven’t used….I am considering bringing it……….
Bubbles: I will look again…………….

Thanks for the link, Paloma.
Re: Saturday
I am the Captain and Chris is my First Mate. You can call him Gilligan. We could also use one more sous chef/Maryann/Ginger and/or Professor (the Howells were useless, so we don't need any of them).
I see the picnic and the late night snacking as two different events.
Do we need a captain for snacks? Unfortunately those beautiful cheese, olive, salami & cracker spreads don't set themselves up. It would be sort of a "Captain Lite" role. If you're nervous about being a captain but are looking for some experience, this may be the captain job for you.
As "Picnic" is a new frontier for PH this year, I'd like to hear what folks would love to have at a picnic. What do you see as the perfect picnic food? What do you never go on a picnic without? What have you never brought on a picnic, but thought you would like to?
Can't guarantee that all (or any) of your suggestions will be honored, but we'll do what we can to balance this year's simplicity theme with the desire to make everyone's wish come true.
Already on the menu:
Grilled chicken
Grilled steak tips
Deviled Eggs
Watermelon
3 bean salad
Potato chips
What else?
Burgers & dogs?
Corn on the cob?
I think that the olive tapenade and white bean dip that Anna and Hayley are bringing are for snack-night.
Let your voice be heard. Participate in the Picnic!
Thanks.
P.S. (I'm not usually quite so challenged by technology, but I just accidentally put this post up on the Porch Table Ink blog too. Sorry.)
How about potato salad for the picnic? Though I live with the greatest potato salad maker in the land, I'm not picky. I also like a good deli salad with mayo.
And let's not forget pickles. If I am able, I'll bring a bunch of local pickles. I know a guy...
Mim-- it all sounds delightful & I really think it sounds great as is! I'm bringing my csa share with me, if there's anything there you want to throw on the grill or into a salad of some kind...
i found my little wooden square low table . (my damn sister in law was holding it hostage for 2 yrs!!) for picnic, i remember the idea that the dogs would be inside, and blankets be out :)
pb/j's for the kids?
pickles sounds snazzy.
My kid loves burgers and dogs if that's part of this meal. Yep: dogs in. Low table sounds nice.
question- is someone bringing the things jeff/ lori brought? wraps/ napkins/ plates/ mozz/?
also- still fuzzy on who's doing sat night-
sounds like 3pm picnic, and after kids to bed (8-9) some snacky stuff for the rest of us- we can all join in?
Covering what Jeff & Lori brought: JJJ is bringing pesto and Moz. Ea is bringing tortillas for burritos--enough for general usage? Paloma's bringing coffee. I'm bringing paper plates and napkins. Mark and I are also bringing stacks of cold cuts (note requests if you have them--otherwise it'll be turkey, ham, & roast beef--maybe a little prosciutto for fancy adult snacking.
If you go to the common kitchen items portion of our chore assignment sheet, you'll see more of who is bringing what (just scroll to the end). Anna, Ea & I are also on paper goods, using up leftovers from other fun events.
Mim thought she might be bringing pesto too-- the more the merrier!! (Can there be too much pesto? i think not)
I'm all over the mozarella, as noted...
