First: The Auction....this has long been a tradition, both as a fun group activity and a way to supplement the income and keep overall costs down.
We are at a crossroads about doing it this year. There are good pros and cons for doing it/not doing it. Ultimately, experimenting by taking a year without it doesn't mean it can't come back next year.
Other possibilities: Trying it at a different time, limiting it to one hour, silent auction. Alternatives: Opens up time for a group game, poker, other activities.
Speaking of Saturday Night, item Two: Consensus was that Tuscan Night had a good run and it is time to retire it and substitute it with something simpler. Keeping a group meal and , doing a more simple and less costly meal were favored ideas. Doing a picnic (keeps one big table concept without moving furniture) was one suggestion for keeping a group festive meal without as much hassle was one idea floated.
Third, Meals over all: Since we are keeping it to the group without day trippers, our numbers will be firm. Meal captains, buy to those numbers and keep it frugal. Also--there will be firm start times for chores and meal prep and meal clean up.
Friday: Still a grill night but with a more Potluck vibe - Basically the thought was to make Friday night dinner as easy and manageable as possible with mostly food brought from home (ie salads, burgers, easy stuff). This allows all of us to get into the PH vibe quickly, maximizing our Bliss, minimizing fuss. I will put this into the common kitchen or Chores list as I get those together.
Saturday: Basic Breakfast/Group Dinner TBD (Lunch on own)
Sunday: Simplified Brunch/Burrito Night (Lunch on own)
Miscellaneous: We need a beer orderer/coordinator. Jenny Jen Jen has written up lovely, easy to follow directions about how/who/which/what beer to order. Super simple! All we need is a volunteer to take that on.
For the sake of sanity, if you do not comment or otherwise let your wishes be known, the group will assume consent and expect that any changes or alterations to PH this year will be met with good cheer and enthusiasm. Peace out, blissers.

For Saturday, i seem to remember an idea floating about that the early-midafternoon would be the family BBQ (2 pm?), leaving parents to easily impart a snack on ya'uns before bedtime & then having cocktail/snack hour be our dinner after they went to bed... or did I dream it? Would that appeal, or no?
I also recall a heartfelt group request for the return of the greased watermelon, which I would be happy to transport (if, again, I did not dream it!)
I LOVE the auction, but totally understand if Rob needs a break from it, so I'll happily agree to silent or absent, as the group desires...

Dream or not, I like Jen's vision of an afternoon bbq/picnic that leaves parents free Saturday evening to dispose of the kiddy-winks as quick as possible. Perhaps said bbq could start a little later, say around 3-4, and we could dine on Brazil Hill...?
I remember the discussion about the auction, but not the resolution. I like the auction quite a bit, but could do without it for a year IF we can afford it. My understanding, though, was that it's how we balanced the books...? It would be awesome to start playing games earlier: POKAH! Werewolf!? Maybe the auction could be done over a simplified brunch with an hour limit?
As much as I enjoyed greased watermelon, I'm dubious any of us could last very long huffing that melon around while treading water. (Not a challenge: merely an observation!) Still, bring it, grease it and lets see what happens. In the next week or so, I hope to add a few PDFs with rules from the New Games book as alternate gaming suggestions that don't require drowning.
I haven't seen JennyJJ's directions for ordering beer, but as I was the one with the biggest stick up my ass about it last year, it only seems fair I deal with it this one. Provided it's logistically feasible (geography/finances), I'd happily take this on.
Other news: Sturgis thinks he'll be able to arrive late Saturday night/ early Sunday morning. I'm doing my best to get Theo to come, and with any luck, he'll be sporting that sequin coat and a blue-suede shoes like last year...

Beer instructions are easy & all do-able by phone. Someone has to pick up the first keg and leave a deposit as well as pay for it-- to be reimbursed, of course. After that, whoever does the store run can swap out the next. I'll send you the same file I sent Ea.
I'm very much in favor of games-- poker, board games, apples to apples, werewolf-- am really looking forward to hanging out and laughing my ass off with my favorite people!

re: auction: my vote would be for a silent auction to run thru the weekend, with a 1 hr auction on sunday pm.
every item has a clearly marked sheet, and folks put their codename/ bid amt thru the weekend. And then, perhaps on sunday - it all ends at say- 9pm, and we do a 'present" the winners thing. ?
and auction off - say 10-15 things at the 'live' auction. would take less time. but still have the fun active auction element, and people could choose which of their offerings would be for silent/live.
if i had a buddy, i'd take on the sheets/etc. mim- do i remember talking with you about this?
the auction generates income, (that i'm sure none of us really want to make up) AND i have several items already- so i'd say bring it on.
yay to potluck friday. do i remember a vote for circle up time? (maybe 1 group game or something like 1 wish/1 truth- or the generation of code names?)

AUCTION: I love the auction, too and we DO need it financially. I would vote for a silent auction (with minimum starting bids listed on the papers for each) then do the 1 hour during BRUNCH- some BIG auction items can be reserved for that time. (I think Sunday night is too late). As for LOCATION: we would need to figure that out- I vote not for the pool table for silent auction - the one hour brunch auction could be outside with mimosas weather depending.
FRIDAY yes, yes to potluck. Let's set a specific time to eat- that way everyone has a timeframe for settling in, etc and then set a time for our group kick-off. One thing we talked about with scheduling was to go back to more specific start times for things throughout the weekend, so everyone can be on-board.
MEALS-ditto for having a set start times for preparation- I think I remember Ea suggested that start time for every dinner set-up be 4:00
MONDAY DINNER- do we want to include an “official group” meal plan for Monday night/chore list etc? It sounds like most folks are staying on, i.e. the old adage, "Monday's count". And this could help keep things less stressful. Last year we did a big impromptu salad and it was a big hit.

It's my plan to acknowledge that there was a concern about number of visitors last year, but that we've put a lid on who can come this year. It's likely to be our smallest year yet. But if he'd like us to arrange for a potty, we'd be happy to do so.
Depending how that goes, I'll see what he thinks about dumping a truck full of sand where the beach is...
Yay on the auction compromise!! I, too, vote NOT the pool table. In the winter one year, we had items on display upstairs in the sitting area (there are some small tables and shelves-- maybe that would work again?
Yes to Monday night assigned to someone-- I was a big fan of that salad last year-- especially after all of the overindulgence over the weekend!
Last year we bought a mess of chicken (a la Mim, bless her) & folks brought veggies from farm shares & we pretty much used it all weekend (grill night, burritos, the salad)-- great stuff.
Hey if the issue is Rob wants a break, I will confess a latent desire I've harbored all along to one day BE THE BARKER.

Finally getting a chance to log in. Great to see the energy on the board! Definitely looking forward to blissing out -- am going to need it. I head to Pittsburgh twice between now & then. Go Steelers, I guess.
My responses to comments so far:
Love the idea of large-group bbq at 2 and then grown up snacks for dinner later at night after the kiddoes retire.
Greased mango! I love it. May be a teeny bit small though. I can see it getting shoved into someone's swimming suit and not surfacing again until it reaches the other side of the pond. How about a greased honeydew? As far as I know we won't have any visible baby-bumps this year, so the honeydew would be hard to hide. As a not-very-strong swimmer, I may bring my water wings or put an early dibs on an inner tube.
Upstairs silent auction: love it. Winners rewarded on Sunday at brunch with an abbreviated live auction: love it. Would be happy to work with Anna on the sheets (I'm assuming you mean silent auction sheets and not hand-weaving Egyptian cotton linens for everyone's bed. If that's what you meant...I'm out.) And, I support Chris' bid for 2010 auctioneer. Huge props to Rob for laying a foundation of excellence. He is the master. But as this is the year of the shake-up, let's shake it up!
